Nexlution (“we”, “us”) provides a WhatsApp-based appointment booking system, including a chat bot and a dashboard to manage appointments. Depending on your setup, Nexlution may act as the service provider or as a platform on behalf of your business (clinic/salon/center).

What we collect

We collect the minimum necessary data to deliver WhatsApp booking:

Contact details
WhatsApp phone number, display name, and any info a user voluntarily shares during booking (e.g., name, requested service).
Appointment details
Date/time, service type, notes provided by the user, and appointment status (confirmed/cancelled).
Message content
Messages sent to/from the bot to complete booking, confirmations, and reminders.
Technical & operational data
Session identifiers, timestamps, error logs, and basic performance/security metrics.

How we use data

  • To process booking requests (create, reschedule, cancel).
  • To send service messages: confirmations, reminders, and essential updates.
  • To provide support and respond to inquiries.
  • To improve reliability, troubleshoot issues, and prevent abuse.

Sharing with third parties

We share data only as needed to provide the service:

Meta / WhatsApp
To send/receive messages using the official WhatsApp Business API.
Hosting & infrastructure providers
To host servers/databases, run notifications, and maintain security logs.
Legal compliance
When required by law or to protect rights/safety and prevent fraud.
We do not sell your personal data.

WhatsApp/Meta processing

Messages sent via WhatsApp are routed through Meta systems to deliver the service. Some data may be handled under Meta’s own policies. We use official channels only and never ask for WhatsApp passwords or verification codes.

Data retention

We retain booking and message data for a reasonable period to provide the service, resolve disputes, and meet legal requirements. You may request deletion subject to applicable laws and any obligations of the business using the system.

Security

We use reasonable safeguards (access controls, encryption in transit, and log monitoring). However, no method of transmission or storage is 100% secure.

Your rights & choices

To stop reminders/service messages, you can reply with something like “Stop” or contact us. We may still send essential messages needed to complete a booking when necessary.
